很久没写文章了,看了外贸界朋友们催促的留言,感觉对不住。今天无论如何也要抽出时间,写点东西。

要写的,也正是我一直深有感触的。最近这些年外贸这一快,我的工作方式使我接触了可能有数千个国内工厂的外贸人员,我是作为国外客户采购代理与他们接触的,也有目睹他们与国外客户之间的接触。这样的接触越多,我就越对我们外贸界的人员素质越发悲观与叹息。今天,其它我且不说,因为问题很多,我前段时间写的被外贸界朋友觉得深有感触的一篇文章《外贸人50条常见罪状》,就是从中总结出来的。今天,我仅从“外贸客户邮件回复的对应性”的角度来展开谈谈,因为我发现这是朋友们在回复国外客户邮件时最常发生、最多发生、却最易忽视的问题。

解释一下,“对应性”指的就是针对性、关联性、相对性。针对什么?关联什么?相对什么?当然是针对、关联、相对于你要回复的国外客户邮件的诉求、提问、询盘细节,以及逻辑顺序等方方面面。对此,可能很多朋友都无察觉。但我却感到很可笑、可气,每当我的邮件或国外客户的邮件被回复得很糟糕时。这样的现象,少则罢了,可惜它们每天不断地出现在我的收件箱里。邮件回复的对应性,是个基础性问题、常识性的问题、也是个大问题!

做外贸,可能每天都会收到询盘,那每天你都可能犯这样基础性的错误。你回复客户询盘后客户再回复你的几率(复盘率)低,更不用说成交率低,原因何在?我觉得,外贸客户邮件回复的对应性,可能是根本或重要原因之一。

一、称呼

称呼属于礼仪,礼仪讲求的是“客尊”原则。

1、不管是客人首次给发邮件或询盘还是后续的,客户称呼你“Dear A”,你的回复也当对应为“Dear B”。若你回复客户“Hi A”,就会让人感到发“顿”。以此类推,如客人邮件“Hi A”,你的回复也当对应为“Hi B”。其他,同理。

2、客户邮件称呼你“Dear Mr. 名+姓”,你回复客户也当是“Dear Mr. 名+姓”。若你回复客户“Dear Mr. 姓”或“Dear 名”,就不规范(规范性就是对应性);若你回复“Dear Mr. 名”,那就是错的,因为无此表达(我知道有不少朋友对此无意识)。

二、漏点

1、客户询盘中,明确要求你报盘,明确要求你提供产品参数、参考图片、价格、相关条款、等。你的回复,应当是全部都提供;不能提供也没关系,但你当说一声,为什么不能提供及什么时候可提供。普遍的是,只报价,即使有产品参数也不全面,更不用说不附参考图片或相关条款了。要知道,对大多数行业而言,一个特定的价格,是必须要对应特定形式的产品(参考图片),以及特定规格的产品(产品参数),以及报价基于的交易条件、付款条件等(相关条款),而且可能还包括安规等认证了。你少了哪样,能说的过去?让客户去猜?我告诉你,对大多数客户而言,客户不会猜,也不会再重复问你,你“漏点”了,只会因你的“不专业”而不理你了。客户有更多、更好的选择,来源于比你“专业一些”的同行。现在不是“价格为王”的时代,价格重要,质量重要,服务也重要。你丢三落四,客户有理由相信你不会在你们公司内部时传达定单信息时也丢三落四?就不要说你的丢三落四是不尊重客户了。

2、客户邮件中,提了五点要你回答的问题。你回答了其中三点,结束。咳!客人楞了,且不管你这三点回答的质量,为什么另外两点不回复,也不交代为什么不能回复,更不交代何时能回复。若你是客人,请问:你又作何感想?

3、与上类似,客户邮件中,有三点需要你确认的事项,你确认了其中两点而不言其他。如果是紧急确认,后果可能很严重。

4、客户热情地说了一大堆,他是如何喜欢你们的城市的风景(如杭州西湖)的,你回复时总该礼貌性说一句“是啊!西湖好美啊!”吧。你如果只字不提,那客人不是“热脸贴了你的冷屁股”了吗?与这一点具有相似意味的是,客户邮件一开始就是“How are you doing?”或“It was great meeting you at your booth on the 100th Canton Fair”,你回复的邮件中却找不到与此所对应的字句

三、次序

1、任何条目性的问题点或确认点,你要回复或确认,顺序上也最好与客户的问题点或确认点相对应。人与人是有区别的,更不要说中西文化差异了,那么客人的思维模式了。客人在列出问题点或确认点时,是有一套他认为合理或自然的逻辑或习惯性顺序的,你乱先回答3、再回答1、再回答5...客人会不习惯或觉得不符合他的逻辑。有人说了,这有什么,反正问题都回答了。咳!这就是问题的根源!

2、与上类似的道理,客户写邮件整体的顺序,也有其自有的逻辑或习惯性顺序的,客户一开始寒暄问候,接着做自我介绍和公司介绍,然后是要报盘,然后是问你几个问题,最后是说表明哪天要来中国。你的回复,也应是基本按照客户邮件中体现的逻辑或习惯性顺序去回复,这样才是对应。

邮件回复的对应性的问题,是个基础性问题、常识性的问题、也是个大问题!要解决它,我认为有两个基础性的办法或程序:

办法或程序一:

把与客户的邮件沟通想象成是电话沟通!

办法或程序二:

一是审题(把客户邮件内容和/或附件研究透);

二是提纲(列出自己要回复的要点);

三是检查(把自己写好的邮件和/或附件与客户原始邮件对应检查一遍然后再发送)。

我一直认为,做外贸,与做其他事情没有什么根本性的区别,都是做事情。做事情,就是需要耐心与细心!相对而言,耐心更重要,耐心是前提,没耐心哪有细心呢?

邮件回复技巧 1.拿到一封新的询盘,首先应该了解清楚客户背景,做到知己知彼: ①通过客户网站; ②网络搜索公司信息; 主要了解客户的类型、经营产品、经营渠道、销售额、市场区域、规模大小等等,这些信息可以帮助我们有针对性的回复邮件、推广产品。如果这些内容在网络上找不到,可以在以后和客户的沟通过程中逐步了解,对于新客户,如果我们所发的邮件没有得到回复,可以电话进一步了解,或者以调查问卷的方式,给出选项让客户简单选择,等等。 2.详细了解客户询盘的邮件内容,询盘可以反映出客户的需求,以便有针对性 地回复邮件,完整的询盘一般包含以下内容: ①客户公司自我介绍; ②所需产品; ③规格要求; ④认证要求; ⑤运费、包装、生产周期等其他问题。 通过对这些信息的研究,可以帮助我们了解客户的心理和侧重点,从而有针对性地回复邮件。例如,北美市场,突出UL&ETL&CSA认证或者产品的美规设计;欧洲、亚洲、南美突出产品性能、参数、质量、交期等;对于欠发达地区,对价位比较敏感,可以着重突出价格上的优惠。。。。 3.与客户沟通过程中,回复邮件的要点及注意事项: ①收到客户邮件,如果邮件比较复杂、篇幅很长,先通读2-3遍,完全了解 客户的邮件信息; ②各个击破,根据客户问题逐条回复,回复的时候尽量标出1,2,3,4…或者 用自动项目编号,客户可以很清晰地看到我们的回复; ③如果客户问题本身是分条分点的,可以直接在客户原邮件上回复,用不 同颜色字体标出,尽量不用红色; Please find my responses below in Blue. 今天意外在校内上发现了一篇关于在企业里面如何礼貌的写邮件和回复邮件的帖子,很好用,很实在,很多都是我已经正在用或者没有注意到的地方,放在这里即可以警惕自己,做好改进,也可以给大家分享一下,无论是国企还是外企工作,还是比较注重这个邮件礼仪的。 发邮件的礼仪(ZZ) 关于主题 主题是接收者了解邮件的第一信息,因此要提纲挈领,使用有意义的主题行,这样可以让收件人迅速了解邮件内容并判断其重要性。 1.一定不要空白标题,这是最失礼的 2.标题要简短,不宜冗长,不要让outlook用…才能显示完你的标题 3. 标题要能真反映文章的内容和重要性,切忌使用含义不清的标题,如“王先生收”4.一封信尽可能只针对一个主题,不在一封信内谈及多件事情,以便于日后整理 5.可适当用使用大写字母或特殊字符(如“* !”等)来突出标题,引起收件人注意,但应适度,特别是不要随便就用“紧急”之类的字眼。 6.回复对方邮件时,可以根据回复内容需要更改标题,不要RE RE一大串。 关于称呼与问候 1.恰当地称呼收件者,拿捏尺度 邮件的开头要称呼收件人。这既显得礼貌,也明确提醒某收件人,此邮件是面向他的,要求其给出必要的回应;在多个收件人的情况下可以称呼大家、ALL。 如果对方有职务,应按职务尊称对方,如“x经理”;如果不清楚职务,则应按通常的“x先生”、“x小姐”称呼,但要把性别先搞清楚。 不熟悉的人不宜直接称呼英文名,对级别高于自己的人也不宜称呼英文名。称呼全名也是不礼貌的,不要逮谁都用个“Dear xxx”,显得很熟络。 2.
